The Latimer Network is convened by The Joffe Charitable Trust. The data controller for the purposes of this notice is The Joffe Charitable Trust.

What We Collect
- Contact details you provide via our contact form (name, email, organisation, sector) and any content in your message.
- Correspondence you send to us by email, including replies and attachments.
- Event information when you register for or attend our events (name, organisation, dietary or accessibility needs where relevant).
- Technical data when you visit this website (IP address, browser type, timestamps) collected by our hosting provider for security and abuse prevention.
We do not currently use analytics cookies, marketing cookies, or third-party tracking on this website.
Why We Process It and the Lawful Basis
- To respond to enquiries - lawful basis: legitimate interest (responding to people who contact us).
- To run events and workstreams - lawful basis: legitimate interest, or contract where you've registered to attend.
- To keep in touch about network activity, where you've asked us to - lawful basis: consent. You can withdraw consent at any time.
- To meet legal and regulatory obligations - lawful basis: legal obligation.
Who We Share It With
We do not sell personal data. We share data only with service providers who help us run the network - such as our email and hosting providers - and only to the extent necessary to do so. Those providers act under written instructions and appropriate data-protection agreements.
We may disclose data where required by law, court order, or to protect our rights, safety, or that of others.
International Transfers
Where service providers process data outside the UK, we rely on UK adequacy decisions or the UK International Data Transfer Agreement as appropriate to ensure your data remains protected.
How Long We Keep It
We keep contact and event data for as long as it is useful for the network's work and any period required by law. As a rule of thumb:
- Enquiry correspondence: up to 3 years from the last contact.
- Event records: up to 3 years after the event.
- Records needed for legal, accounting, or regulatory reasons: for the period required by law.
Your Rights
Under UK data-protection law you have the right to:
- Access a copy of the personal data we hold about you.
- Have inaccurate data corrected.
- Have data erased in certain circumstances.
- Restrict or object to our processing in certain circumstances.
- Receive your data in a portable format.
- Withdraw any consent you've given, at any time.

Security
We apply appropriate technical and organisational measures to protect personal data, including encryption in transit (HTTPS), access controls, and secure email providers. No system is 100% secure: please do not send highly sensitive information by email.
